Privacy notice
This notice describes how Navigatewithai handles personal data when you visit this website or send an enquiry. It covers what the contact form collects, why we use those details, how long we keep them, who processes them, and how you can ask for access, correction or deletion.
A Singapore training practice, founded in 2026
Navigatewithai is a training practice based in Singapore and founded in 2026. We teach shore-side maritime teams how to use AI tools on the documents they already handle: statements of facts, recaps, noon reports, PSC and SIRE 2.0 preparation, emissions returns and related files. We are not a software vendor, not a reseller, and not an audit or claims service. This notice explains what personal data we collect from the website, why we collect it, how long we keep it, who processes it on our instructions, and how you can ask us to correct or delete it.

We do not publish a register of staff names on this site, and you should treat hello@navigatewithai.eu as the contact point for privacy requests as well as for ordinary enquiries.
What this notice covers, and what it does not
These pages are intended for people who work at maritime and ship-management desks. We do not offer account registration, we do not take payment-card details through the site, and we do not run a public client directory. If you write on behalf of an owner, charterer, manager, operator or broker, we treat the information you supply as business contact data connected with that enquiry. We do not knowingly collect personal data from children. Please do not use the public form to send crew identity documents, medical information, or unredacted commercial terms.
Training itself may later involve sanitised document samples. That work is arranged after a scoping call and is described on the data-handling section of the method page. Samples used in exercises are redacted before they are worked on. Nothing in this notice asks you to upload a live charterparty, an unredacted SOF, or a crew list through the website form.
The contact form, and a little technical context
When you submit the form on the contact page, we collect your name; e-mail address; telephone number if you choose to give one; the name of your company or fleet; your desk or role if supplied; the programme you select from the list; an indication of group size; and the message describing what the desk spends its week on. A consent checkbox must be ticked before the form will send. Those fields exist so we can reply in a way that matches the desk you actually run, not so we can build a marketing file.
The server also records a time stamp and a session token used only to protect the form against automated abuse and cross-site request forgery. A hidden field is present to catch bots; it is not meant for human use and should be left empty. We may count how many times a session has submitted the form, so that we can slow obvious flooding. We do not collect payment data, identity-card numbers, dates of birth, or vessel IMO numbers on this form, and we ask you not to paste them into the message box.
Why we use enquiry details
We use the information you send for one practical purpose: to understand the request, to reply, to prepare the written scoping outline that follows a call, and to arrange a cohort if you later ask us to. The consent box records that you agree Navigatewithai may use the details to reply to the enquiry, as described in this notice. We do not use the form to subscribe you to a newsletter, we do not build advertising audiences, and we do not profile visitors against other data sets. There is no advertising on this site.
We do not sell or rent personal data. We do not take automated decisions that produce legal or similarly significant effects about you. If a conversation ends without a booking, we do not keep writing for marketing. Any later use of redacted training samples is a separate arrangement, agreed in writing after scoping, and is not authorised by the website form alone.
Enquiry records are kept for 24 months
Enquiry records are kept for 24 months from the date of the last meaningful message on that thread. After that period we delete the record or reduce it to an anonymous statistical note — for example, that a scoping call took place in a given month — so that we can understand demand without keeping a name. If you ask us to erase an enquiry earlier, we will do so unless we must retain a slim record to show that we answered you, or to meet a legal obligation that still applies.
Session tokens and rate-limit counters live only in the server session and expire with it. We do not keep a separate marketing database. If we never received a valid form submission from you, we will not have an enquiry file to search.
Hosting and e-mail, named by category
We use processors by category rather than as an open list of unnamed partners. A hosting provider stores and serves the website and receives the encrypted connection. An e-mail provider carries messages to and from hello@navigatewithai.eu so that the practice can read and answer enquiries. Those organisations act on our instructions and are not permitted to use enquiry content for their own advertising. We do not appoint analytics vendors that identify you, advertising networks, or data brokers. We do not require you to create a login.
Hosting for these pages is provided from Germany, which means a copy of the site — and, while an enquiry is in transit or held in mail, a copy of that mail — may be processed outside Singapore. We do not transfer enquiry files to a marketplace of tools, and we do not paste form contents into consumer chat products. If a future processor category is added, we will update this notice before that change affects new enquiries.
A short pointer, not a second cookies page
Cookies and similar storage are described in full in the Cookies notice. In brief, we set an essential session cookie so the contact form can be validated, and your browser may hold a local preference recording that you have acknowledged the cookie bar. On the contact page only, a Google Maps embed may set cookies belonging to that third party when the frame loads. We do not use the Maps embed on other pages. You can read the site without accepting anything beyond what is required to deliver the page and protect the form.
Access, correction, deletion and withdrawal
You may ask for a copy of the personal data we hold about you, ask us to correct inaccurate details, or ask us to delete what we hold. You may withdraw the consent given on the contact form at any time; withdrawal does not affect replies already sent. Send requests to hello@navigatewithai.eu or to the HarbourFront address, with enough information for us to find your enquiry and to check that we are speaking to the right person. We aim to respond within one month.
If you are in Singapore you may also contact the Personal Data Protection Commission if you are not satisfied with our response. Correspondents in the European Economic Area or the United Kingdom may raise the matter with their local supervisory authority. Naming those routes does not mean that a particular statute always applies to every enquiry sent to a Singapore practice. We will say plainly what we hold and what we can change.
Ordinary measures, and what not to send
We use HTTPS, we limit access to enquiry mail to people who need to answer it, and we ask that you never paste unredacted rates, counterparty names, crew personal data or privileged incident files into the public form. Course exercises use sanitised samples or our in-house synthetic corpus. No technical measure is perfect. If we become aware of a breach that is likely to cause significant harm, we will notify those affected and any authority we are required to tell, in line with applicable law.

This notice is issued in 2026, the year Navigatewithai was founded. If we change our handling of personal data in a way that affects information we already hold, we will update this page. Where the change is material and we still have your e-mail address from an open enquiry, we will also write to you. Continued browsing is not a substitute for the consent you give on the form.
